E-mailings - Digital Newsletters

Is it a lot of work for the volunteers to post all the letters? A waste of paper and postage? Too short a day to post everything?

You can send an e-mailing to all members or to a member group from the membership administration with minimal effort and at minimal cost. For example, think of the digital newsletter, with links to articles on the website or other internet sites. Or sending a reminder for the general members meeting.

The e-mailings can be sent in html or plaintext, depending on your preference.

Standard Joomla mailings

This functionality is standard in Joomla.

Acymailing enterprise, professional e-mail sending

If you want to approach e-mailings more professionally and with more control, we have selected the extensive extension Acymailing Enterprise for the association or club. The most important extras are:

  • Clear dashboard of what you can do with Acymailing;
  • Automatically send the latest news per category to opt-in subscribers;
  • Use a template, only enter the text;
  • Statistics: how many subscribers, how many read, how many bounces.

This extension costs 5 euros ex VAT per month.
We take care of the software updates.

Events

Questions that associations have about the organization and administration of an event for their members (such as an anniversary, lectures or barbecue):

  • The association has been around for 25 years... but how can members register for the party?
  • For the annual barbecue, our association would like to know how many people will be coming, what now?
  • The members want to be able to manage their participation via the website.... where to enter it?
  • We have a symposium with a maximum number of participants.... how do we administer that without much effort?
  • Our staff association organizes many events every year, but the administration and collection of the admission tickets is almost a day's work. How do we automate this?

With the module "RS Events Pro", it is possible for every association to administer events, collect (options are iDeal, Credit Card, Invoice) and communicate to the members. We install this module on request in conjunction with RS Forms Pro.
In other words: members register via a Joomla form, the data is placed in the database, and can be managed from there.

An events calendar can be placed on the homepage, so that members and visitors can see when an event is taking place.

Documents manager

Association documents such as invitations to member meetings, newsletters, decision lists and agendas can be placed on the website as pdf, Word or Excel files, so that your members and board can view them. It is an easy way to distribute information, because you do not have to copy it into articles. The members can also appreciate this because it is also easy to print out. Document management can be done in 2 ways: via the standard media management functionality and via the advanced RS Files or DOCman.

Method 1: Media Management

The documents can be put online in separate directories via the media management function. Then you create an article and link to the document. This is a workable solution to publish documents online.

Method 2: RS Files and DOCman, professional document management

Additional document management capabilities are provided by installing a document management system.
The benefits of using it are as follows:

  • restricting access to those documents for different groups;
  • the step of creating an article with a link to the document is no longer necessary;
  • descriptive data can be stored about a document: description, title, document size, document type, publication date;
  • statistics on download numbers and most popular documents.

We have chosen the excellent RS Files and DOCman for our customers as the standard document management system. Documents can be classified into categories and subcategories, users can upload, download and edit documents. Direct linking can be prevented and thus better protected. The administration interface is the same as the article administrator function of Joomla, so once you can create and edit articles, you can also get started with this document manager.

This extension costs 5 euros excluding VAT per month.

Photos are taken of many events.
Place these afterwards via user-friendly photo album software online on your association website.

Forum for members

Offer your members a private part on a forum, so they can share knowledge that is inaccessible to non-members.

Our solutions within My Member Software

  • Administrator can change member data such as account name, password, member role, registration date and cancellation date. A member does not see certain fields, such as cancellation reason and cancellation date.

  • Personal data such as address, date of birth.

  • Financial data such as invoices and bank account number.

  • Other fields, including the 75 possible custom variables (in this example the date field).

Association members can change their own membership details and add members

Member data changes frequently, which is a lot of work for the voluntary administrators of the association to keep up with: addresses, telephone numbers, e-mail addresses, bank account number for direct debit, new interests or function in the association cost large associations and clubs a lot of time to keep up with.

Our solution: With My Member Software, members can adjust a number of personal details online themselves. This is very easy and saves the membership administration time. Multiple management levels can also be implemented, which can administer groups of members.

In My Member Software, the association or club can save and change the following data per member:

  • first and last name
  • gender
  • company name, company department
  • street, house number, addition, postal code, city
  • telephone numbers mobile, work, private
  • email address
  • date of birth
  • function in the association, date of entry into
  • function, expertise, date of exit
  • termination date with reason for termination
  • authorization for direct debit
  • bank account number
  • payment method
  • type of membership and start date and end date
  • general interests, hobbies
  • comments and memo

Associations can indicate during configuration which variables should be visible for both administration and members.

It is also possible to have 75 variables added "custom".

This list is regularly updated, depending on what the customers need.

Collect contributions with a link to the accounting package

Your members pay a membership fee. To collect this membership fee, it is best to use the available links to online accounting packages; you can collect the membership fee cheaply and easily and have the entire administration in hand.

On request, we can also build a link to your online accounting system.

Members who do not have direct debit can pay by invoice or giro. The system has the option to charge extra costs per payment method.

  • SEPA xml bank file  is difficult to understand with all that secret language.

  • Excel file created from the seemingly incomprehensible SEPA xml files.

  • For each collection of the contribution, invoices are created. In addition to direct debit, members can also pay by invoice.

Export member data

The program Member Administration Online offers many options for editing data and for printing key figures and reports of your membership file. It is also possible to export your membership file to Excel, CSV file or OpenXML to continue working from there.

The export is useful if the standard reports are not enough for you. It is a complete export of all member data.

Intranet for closed groups

One of the possibilities in Joomla is an extensive intranet functionality. An intranet is a website where articles are shielded that are not intended for everyone, and are only available after logging in. Examples of such articles include the reports of the General Members Meeting (only for members), the reports of the board meeting (only for directors) and offers that are only made to members.

This information is shielded from the general website, with publicly accessible information. In general, there are three levels on an association website:

  • publicly accessible information (e.g. contact, general information, registration form)
  • information that is only accessible to members (e.g. Newsletters, Annual Reports, AGM Report)
  • information that is only accessible to directors (e.g. Board Meeting Agenda, Meeting Documents, List of Decisions)

Members and the board get access to the information after logging in with their own account and password, the same as the one they use to change their data in the membership administration.

Once set up, the webmaster simply has to choose the correct category for the article, such as "reports > intranet board" and the article will only be visible to the association's board members.

  • Set up intranet as webmaster

    Create and manage groups that have rights. These groups correspond to the roles in the membership administration.

  • Create and make articles available to the appropriate group by setting the field access.

  • Intranet on website

    The possibility to log in for members (and of course also for board members) is at the bottom left. Now only the public part of the website is shown.

  • After a member has logged in, the menu item "AGM documents" becomes visible and those articles can be consulted.

  • The membership administration section also becomes visible so that member data can be managed.

This functionality is standard in the Joomla software, only one-time setup costs are charged when switching to an intranet.
